How 69 YHSGR Smart Plans were autonomously extracted, documented, and transformed from opaque CRM configurations into transparent, manageable business assets — and why this matters for YHSGR leadership.

The Automation Is Not “Perfect” — It’s Undocumented

The Smart Plans in Lofty represent significant intellectual capital built over years. But intellectual capital locked inside a CRM interface is not the same as a managed business asset. Here is what the March 2026 inventory revealed:

🔴 4 Plans Inaccessible

4 plans are owned by individual agents and invisible to company-level review. If those agents leave, those workflows disappear with them. No documentation exists.

🟡 Multiple Retired Variants Still Active

At least 8 “Plan 1” variants (retired duplicates) are still in the system with active applications. Without documentation, these are invisible risks — leads may be receiving duplicate or outdated sequences.

🟡 No Trigger Criteria on 6 Plans

6 plans show “The author hasn’t set the criteria yet.” These plans exist in the CRM but have no defined trigger conditions — meaning they may never fire, or fire incorrectly.

🔴 Zero Version Control

No formal change management exists for Smart Plans. Any team member with CRM access can modify a plan that touches 11,000+ contacts with no approval workflow, no rollback, and no audit trail.

Extraction Methodology

The extraction was performed autonomously by Manus AI on March 25, 2026 using advanced browser automation. 100% fidelity to source material — no manual data entry, no sampling.

STEP 1
Authentication & Navigation

Manus securely authenticated into the Lofty CRM using custom SSO credentials and navigated directly to the Smart Plans administration console. Both “Company Plans” and “My Plans” scopes were toggled to ensure maximum visibility.

STEP 2
Deep Content Extraction via Chrome DevTools Protocol (CDP)

For each plan, Manus utilized CDP to interact with the DOM. Email body content was extracted directly from embedded iframe elements — bypassing the CRM’s UI limitations. SMS content was extracted from .normal-content div structures. When initial search terms failed due to UI highlighting artifacts, Manus autonomously diagnosed the DOM structure and rewrote its extraction script.

STEP 3
Standardization & Documentation

Raw extracted data was formatted into clean, structured Markdown and converted into standardized Microsoft Word (.docx) Functional Specification files using Pandoc. Each spec captures: plan name, trigger conditions, all steps in sequence, message content, timing, and workflow type.

STEP 4
Cloud Integration & Delivery

All 70 Functional Spec DOCX files, the Master Inventory Excel tracker (V2), and this Executive Overview were automatically uploaded to the designated Google Drive shared folder via the Drive API. Zero manual file transfers required.
